Job Summary
Receptionist responsibilities include answering and directing incoming calls, organising and preparing for internal meetings, assisting with general administrative duties and maintaining appropriate filing systems. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools like MS Office ( Excel, Word, Outlook).
Ultimately, a successful Receptionist should ensure the efficient and smooth day-to-day operation of our office.
Key Skills/Competencies
Excellent verbal and written communication skills
Knowledge of Office Management Systems and Procedures
Working knowledge of office equipment, eg. printers
Proficiency in MS Office (MS Excel and MS Word)
Excellent time management skills and the ability to prioritise work
Attention to detail and problem-solving skills
Strong organisational skills with the ability to multi-task
Experience in a customer service, reception or administrative role
Key Responsibilities
Reception – manning reception and dealing with visitors to the office, accepting deliveries and collections
Answering, screening and directing telephone enquiries
Log in and outgoing post and distribute to recipients
Organising couriers
General administrative support duties
Organise and schedule meetings
Write and distribute email, correspondence memos, letters, and forms
Preparing, copying, collating and binding reports
Order office supplies and maintain stock levels
Book travel arrangements
Carry out local authority search requests
Making coffee/tea and cleaning kitchen area when required
Ensure deadlines are met to the high standard expected.
